Digiplate ("we", "us") operates the website digiplate.uk and the Digiplate service — QR & NFC review plates, profile pages and analytics for hospitality businesses. This policy explains what personal data we collect, why, and the rights you have over it. We keep it in plain English on purpose.

  • Early-access registrants and customers — venue owners and their teams
  • End customers of venues — people who scan or tap a Digiplate plate in a café, restaurant or other business

What we collect and why

If you register interest or contact us

  • What: your email address, and anything you include in messages to us.
  • Why: to respond to you, and to contact you about Digiplate early access, launch and your account. This is done on the basis of your consent and, once you become a customer, to perform our contract with you.
  • Marketing: we only send you updates about Digiplate. Every email includes a way to opt out, and you can opt out at any time by emailing us.

If you use the Digiplate service as a business

  • What: account details (name, email, business name and address), the links and content you add to your profile page, and billing information where you take a paid plan. Payment card details are handled by our payment provider and never stored on our servers.
  • Why: to provide the service — hosting your profile page, managing your plates, showing you your analytics — and to bill you. Basis: performance of our contract with you.

If you scan or tap a Digiplate plate

When a member of the public scans a QR code or taps an NFC plate:

  • What we log: the scan or tap event — the time it happened, which plate or link it came from, coarse technical information (such as device type), and which link on the profile page was chosen.
  • What we do not collect: your name, email address, phone number or any account identity. Scan analytics are event counts, not profiles of people. We do not use scan data for advertising and we do not sell it.
  • Why: to show the venue how its plates are performing. Basis: our and the venue's legitimate interests in measuring the service.

Anything you do after leaving a Digiplate page — such as writing a Google or TripAdvisor review — happens on that platform, under that platform's own privacy policy.

Website technical data

Like almost every website, our hosting infrastructure records standard server logs (IP address, browser type, pages requested) for security and to keep the site working. We do not run third-party advertising trackers on digiplate.uk.

Who we share data with

We do not sell personal data. We share it only with the service providers who help us run Digiplate — hosting, database and email infrastructure — under contracts that restrict what they can do with it. Where those providers process data outside the UK, transfers are protected by recognised safeguards such as the UK Addendum to the EU Standard Contractual Clauses or an adequacy decision.

We may also disclose data if the law requires it, or as part of a business sale or restructure (in which case this policy continues to apply to the data).

How long we keep things

  • Early-access emails: until launch communications end or you opt out, whichever is sooner.
  • Customer accounts: for the life of the account, then deleted or anonymised within a reasonable period after closure.
  • Scan analytics: retained as event data for as long as the venue's account needs it; it contains no personal identity to begin with.
  • Server logs: kept briefly for security, then rotated automatically.

Your rights

Under UK data protection law (UK GDPR and the Data Protection Act 2018) you can ask us to:

  • Access the personal data we hold about you
  • Correct it if it's wrong
  • Delete it ("right to erasure")
  • Restrict or object to how we use it
  • Port it — receive a copy in a usable format
  • Withdraw consent at any time, where consent is the basis we rely on

Email contact@digiplate.uk and we'll respond within one month. If you're unhappy with how we handle your data, you can complain to the UK Information Commissioner's Office (ICO) at ico.org.uk — though we'd appreciate the chance to sort it out first.

Children

Digiplate is a business tool and our website is not directed at children. We do not knowingly collect personal data from anyone under 16.

Changes to this policy

If we change this policy in a meaningful way, we'll update the date at the top and, where the change affects how we use data you've already given us, tell registered users by email. Continued use of the site or service after a change means the updated policy applies.
